Junior Customer Support Specialist

We’re looking for a Junior Customer Support Specialist) for a company in Västerås. Start is September 28th, 6 months limited contract to begin with, possibility of extension after that. This role is 100% onsite in Västerås.

About the Assignment

We are looking for a structured and service-oriented Spare Parts Order Coordinator for a consulting assignment within an international industrial organization in Västerås.

In this role, you will be part of a Spare Parts team and take responsibility for coordinating and managing spare parts orders throughout the order-to-delivery process. You will work closely with internal sales teams, customers, and other functions within the organization to ensure that orders are handled efficiently, accurately, and according to agreed terms.

The role combines order management, customer service, administration, documentation, and internal coordination and is well suited for someone who enjoys working in a fast-paced, collaborative environment with many different stakeholders.

Key Responsibilities

As a Spare Parts Order Coordinator, you will:

• Take responsibility for ensuring that spare parts orders are delivered on time and in accordance with agreed terms.

• Collaborate with Inside Sales during the handover from quotation to order.

• Ensure that customers receive formal and accurate order confirmations.

• Prepare and coordinate the necessary customer documentation related to orders and shipments.

• Follow up on orders throughout the delivery process.

• Ensure that customers are invoiced correctly and in accordance with delivered orders.

• Maintain close communication with customers as well as internal stakeholders to ensure a smooth and efficient order process.

• Support the team with administrative and operational activities related to spare parts order management.

Requirements:

To be successful in this assignment, you should have:

• Completed upper secondary education (high school level).

• Fluency in Swedish and English, both spoken and written.

• Strong administrative and organizational skills.

• Good communication skills and the ability to collaborate effectively with both customers and internal stakeholders.

• A structured and service-minded approach to your work.

Meritorious

• Previous experience working with SAP.

• Previous experience working with OMS (Order Management Systems).

• Experience in order management, customer service, logistics, spare parts, or a similar operational environment.

Personal Qualities

• We are looking for a positive, outgoing, and service-oriented person who enjoys working with people and building good working relationships.

• Since the role involves regular contact with both customers and colleagues across the organization, you should be communicative, collaborative, and comfortable coordinating several activities simultaneously. This role requires fluency in both Swedish and English.

This is a full-time consultant position in Västerås through Incluso. Start is September 28th, 6 months limited contract to begin with, possibility of extension after that. This role is 100% onsite in Västerås.
